In a nutshell, you’ll take on a vast array of administrative roles that will ensure your department operates efficiently. Handling enquiries, you’ll either resolve them yourself or pass the enquiry on to the relevant person. Perhaps someone needs some data, information or a report. If they do, you’ll know where to locate it and circulate it as needed. You’ll also be the one who takes responsibility for updating and maintaining your departments records, systems and databases. You’ll even organise and manage department activities and supplies. Whatever is asked of you, you’ll give it your all. And whilst you’ll follow the various procedures and processes in place, if you see something that can improved upon, we’ll expect you to share your thoughts. At NPL, we embrace change for the better.
About You
The Postgraduate Institute (PGI) is a dynamic and vibrant  place to work. That’s why we need someone who is exceptionally organised. Ideally with administrative experience and possibly commercial know-how. If you have great communication skills, common sense and a willingness to stretch yourself, then we’re interested from hearing from you. We also value good attention to detail, the ability to work autonomously and in teams,and be able to manage multiple tasks.

 

Mainactivities and responsibilities:

Key elements of thePGI Administrator’s role:

Duties includeperforming a wide range of administrative and project office support activitiesto facilitate the efficient operation of the PGI, such as:

  • Directly support the work of the PGI team, including University Liaison Managers, Recruitment Officer and PGI Director, and any subsequent appointments.

  • Provide support for travel appointments, diary management and processing invoices for the above group, ensuring activities are completed efficiently, accurately and in accordance with company process and procedure.

  • Collate, produce and distribute information, data and reports to the appropriate individuals in NPL and the PGI when required.

  • Liaise with universities and NPL groups to collate, maintain and update all information held about the students. Incorporate and manage PGI records on current systems ensuring that the information is accurate and up to date.

  • Respond to queries and emails to support the PGI in a professional and timely manner.

  • Help coordinate and support PGI activities and supplies as appropriate to ensure efficient operation.

  • Schedule and coordinate meetings, prepare agendas, record (where appropriate), compile, transcribe and distribute minutes of meetings

You will beexpected to manage your own workload and will receive support to determinepriorities and you must be able to work with little supervision.  Training and development will be providedwhere appropriate.

Key skills and Background/Experience required

Essential

  • Administration experience in a similar role (or equivalent)

  • Excellent organisational skills and good attention to detail

  • Strong communication and team working skills

  • Managing and extracting information from databases and other data and information repositories

  • Experience and competence with Outlook, Word and Excel and other Microsoft packages particularly cloud based collaborative tools and web enabled communications.

  • Fluency in spoken, and written English is essential

Desirable

  • Ideally you will have experience in providing administrative support for events

  • Experience of working in academic or research environments

  • Contact relationship management product experience e.g. Salesforce or similar
